Coach hire is quoted differently by almost every operator, which makes comparing offers harder than it should be. This is what sits behind the number, and what to check before you commit a group to it.

What the price is actually built from

Four things move a quote more than anything else: the size of the vehicle, the number of days it is committed to you, the total distance, and the season. A coach on a ten-day tour is not earning anywhere else, so you are paying for the vehicle and the driver for the whole period — not only for the days you happen to be moving.

Choosing the right size

Book to the group you have, not the group you hope for. A 49-seat coach carrying 30 people costs the same as one carrying 49, and an over-full coach with luggage in the aisle is both uncomfortable and non-compliant. Our own fleet runs at 20, 49 and 57 seats, which covers most agency groups without paying for empty rows.

Driving hours are not negotiable

A driver may drive nine hours a day, ten twice a week, with a 45-minute break after four and a half hours and eleven hours of rest between shifts. Any operator willing to promise you more is either planning to break the rules or planning to charge you later for a second driver. Ask which it is.

Questions worth asking before you sign

  • Is the operator licensed for international carriage, and can they show the licence?
  • What passenger liability insurance is carried, and to what limit?
  • Are tolls, city congestion charges, parking and the driver's accommodation included, or billed afterwards?
  • What happens if the vehicle breaks down mid-tour — is there a replacement, and how quickly?
  • Does the driver speak a language your group leader shares?

When to book

For July and August, three to six months ahead is realistic; good coaches in peak season are committed early. Outside peak, six to eight weeks is usually enough. Either way, book the coach before you confirm hotels — it is far easier to move a hotel night than to find a 57-seat vehicle at short notice.
